Customer Success Story - Loudoun Water

Streamlined Procure to Pay processes through an integrated SAP solution significantly reducing costs, decreasing transaction cycle times, and creating an online supplier self-service experience.

The Challenge.

 

Loudoun Water provides drinking water and wastewater services to over 75,000 households in Loudoun County, Virginia, 25 miles outside of Washington, D.C.  Loudoun Water maintains over 1,250 miles of water distribution pipelines, over 950 miles of wastewater collection system pipelines and a growing reclaimed non-potable water system.

Genesis Consulting was engaged as a trusted implementer providing SAP Public Sector subject matter expertise for Loudoun’s implementation. Genesis advised Loudoun County Water during the requirements gathering phase and mapped those requirements to the applicable business areas and SAP modules. Genesis, while partnering with Sparta Consulting provided valuable resources and subject matter experts for the project implementation phases.

The Solution.

Genesis led the implementation of SAP Supplier Relationship Management (SRM) and SAP Materials Management (MM) solution for procurement.  SAP SRM supports Loudoun Water’s procure-to-pay best practices that help reduce procurement costs by enabling supplier communications, streamlining operations, and improving cost management. SAP SRM enables Loudoun Water to manage the entire purchasing process from purchase requisitions, to the Request for Quotation, and the processing of Purchase Orders through processing A/P Invoices.  Additionally, Loudoun Water can create various reports to analyze purchasing information such as purchasing status, purchasing analysis, pricing information, and vendor liabilities.

Loudoun Water identified the need to implement an integrated Enterprise Resource Planning (ERP) solution supporting core business activities as well as enabling the realization of strategic IT and business initiatives.

Genesis advised Loudoun County Water during the requirements gathering phase and mapped those requirements to the applicable business areas and ERP modules. Genesis was primarily involved in the Supplier Relationship Management, Inventory Management, MRP and Logistics solution for procurement. SRM supports Loudoun Water’s procure-to-pay best practices that help reduce procurement costs by enabling supplier communications, streamlining operations, and improving cost management. SRM enables Loudoun Water to manage the entire purchasing process from purchase requisitions, to the Request for Quotation, and the processing of Purchase Orders through processing A/P Invoices. Additionally, Loudoun Water can create various reports to analyze purchasing information such as purchasing status, purchasing analysis, pricing information, and vendor liabilities.

The Results.

By modernizing the Procure to Pay processes, Loudoun Water was able to streamline the procurement process and provide buyers with more time for strategic sourcing.

We implemented SRM Bidding providing cost savings for to source the best market price and create Central Contracts.

​

With an integrated Procurement System (SRM) with other SAP Modules (Project Systems (PS) and Enterprise Asset Management (EAM)) able to streamline processes, reduce transaction cycle time, improve customer services, and reduce errors.

We implemented Inventory Management (MM-IM) for automatic replenishment of Inventory.

​

The team implemented SAP Supplier Self Service & Registration of Supplier (SUS/ROS) for setting up new suppliers and allowing the supplier to bid on RFx’s.  This reduced manual adminstration of supplier data, and provided an online self-service experience for suppliers.
