Streamlining business operations and modernizing asset management capabilities for a municipal utility

The Challenge.

 

Monroe County’s population of 744,000 is spread across 19 towns, 10 villages, and the City of Rochester, the third largest city in New York State.  The county’s government workforce of 4,600 employees manage an annual operating budget of $1 Billion.


Monroe County’s existing Hansen and SAP platforms do not possess the necessary modules or functionality for the Department of Environmental Services (DES) and Department of Transportation (DOT) to perform business functions necessary to complete projects.  The county’s government employees are required to combine information from both systems to complete integration and reporting requirements.  The current processes are cumbersome, lack efficiency, are manually intensive and therefore error prone.  Creation of work orders requires numerous screens to enter basic elements, and the systems lack visibility into utilization of maintenance teams in the field.

 

The Solution.

Genesis Consulting partnered with Monroe County to streamline data entry, integrate with County financial and labor systems, and provide a strong technical foundation for data reporting.  In order to accomplish this, the DES and DOT intend to add the desired enterprise asset management (EAM) functionality to the County’s current SAP system, thereby improving efficiencies and accuracy of their operations which include Plant Maintenance, Inventory Management, creation of Netweaver Portal business packages, mobile access from remote locations, and integration with geographic information systems (GIS).

The Results.

 

By facilitating the consolidation of EAM and mobility platforms, Genesis enabled Monroe County to automate and manage service requests and work orders.  Genesis’ implementation of these new platforms allows transmittal and receipt of object updates between GIS and SAP which increases asset visibility throughout the system. The county is now able to track preventive maintenance tasks and projects, in conjunction with straightforward documentation and management of project work, inventory and reorder points.  Additionally, county government agencies are capable of charging time on work orders as well as charging costs to business areas by cost centers.
